Why change DMS?

As part of the NGP Group, the goal was to bring everyone onto a common platform. Our Toyota sites are locked into their own system, but the rest of us needed consistency for head office to consolidate. I would have thought the Toyota system would have been an obvious choice [given the lock-in] but whatever they [Exec level] saw from Titan clearly stood out.

How did Titan approach the initial consultation for the changeover?

From my perspective, the Titan team did an excellent job. Lots of pre-work was done with our IT Manager, who worked incredibly hard, especially on data and reports. Titan were organised, polite, patient and very proactive in keeping us updated. Donny, in particular, was fantastic - always communicating clearly and making sure we knew exactly what was happening. Everyone I dealt with was helpful and really easy to work with.


How would you describe the training Titan delivered leading up to the go-live?

The training was good and thorough. Some of my team completed the Titan Academy modules and found them helpful – they gave it positive feedback. Those who did the online training definitely recognised things more easily on day one. June was always communicating with us.

For me personally, I found that the real learning happened once we were actually using the system with live data (even though I was a proponent of having the early training). After about two weeks, things “clicked,” and the logic made sense.

The Titan Knowledgebase has been a standout - I use it all the time. It’s far better than what we had before; the search works brilliantly, more like a Google search than a rigid help menu. I did notice with Titan Academy it would say “this course will take 50 minutes” and I thought “I don’t have a spare 50 minutes” so that’s the main issue - fitting it in. I would like to keep access to Titan Academy though as I think it’ll be useful for Sales, Service, and Parts but also for new starters in particular.

How did Titan manage the "go-live" in your dealerships?

Day one went much more smoothly than I expected. Titan were on-site early, ready to go, and any issues were very minor - the usual things like printers or access.

For a dealership our size, I expected bigger challenges, but everything ran well. If there were any behind-the-scenes headaches, Titan certainly didn’t let us see them.

From our side, it felt controlled and well-managed.

How would you describe the support provided by Titan after go-live?

I honestly have nothing negative to say. The installation and support teams have been fabulous. David has been here consistently and has been incredibly helpful - all of them were supportive, patient and knowledgeable.

Have there been any examples yet of improvements due to Titan DMS?

Our Stock Control team has already seen strong improvements - they love the stock swap function. All the automations mean you don’t have to sit there and do journals to move inventory. The fact it automates all the entries, form changes, and generates invoices and purchase orders is a big time saving. It’s a one-stop-shop.

I have also noticed it has significantly reduced manual journals and that's saved a lot of time.

From my side, the reporting is miles ahead of our old system. The BAS/GST reporting in particular is far more professional, accurate and reliable. With our previous DMS, it always felt like a “mish-mash” of manual adjustments. With Titan, the logic and accuracy are already much stronger. I’m genuinely looking forward to doing the next BAS [Business Activity Statement] - something I never thought I’d say!

It's still very early but give me a call in six months and I'm sure I'll have more for you.

Do you have any final comments you'd like to leave us with?

I like the fact we just get a single invoice from Titan. Previously we got all sorts of charges and invoices from our old DMS.

We were really impressed with the professionalism and design of the reporting in stuff like GST and BAS compared to what we had before. It’s all very accurate as well, with much less manual adjustments.

What is the overall mark you would give to Titan?

9.5 out of 10.
